Therapy Support Services Administrator (Maternity cover)

The opportunity

We are looking for a Therapy Support Services Administrator who will support the effective delivery of Kids Inspire’s therapeutic services by providing high quality administrative and client support functions. The role ensures smooth coordination of referrals, assessments and therapy activities, accurate maintenance of client records, and timely communication with service users and the therapy team, contributing to a responsive, efficient, and compassionate service experience.

About Kids Inspire

Founded in 2007, Kids Inspire is a children's mental health charity currently working in Essex and Suffolk, offering free trauma recovery support to children and young people who might not otherwise afford it.

Leading with a trauma informed approach that looks at negative childhood experiences, we address the causes rather than the symptoms and focus on supporting children and young people to overcome challenges, heal from trauma, and build brighter futures.

What do we do?

Based in Greater Essex (including Southend and Thurrock) and Suffolk, we provide personalised recovery plans through individual and group sessions, ensuring every child gets the help they need.

Through our interventions, we are specifically committed to supporting young people to achieve positive outcomes in their social and emotional development, having healthy and safe relationships, and engaging positively with their learning.

The role

Job title: Therapy Support Services Administrator

Normal place of work: Based at the Kids Inspire Chelmsford Head Office.

Contractual terms: Employed/temporary (maternity cover on a 10 month contract, term time only)

Hours: 20 hours per week, Monday to Thursday, 9am-2.30pm

Salary band: Band 4 (£25,204 to £27,658 FTE) subject to experience. FTE salary will be pro rata for part time hours and term time working)

Main activities

  • to be responsible for disseminating information in relation to therapy services

  • to follow screening processes in order to support the therapy management team in allocating the most appropriate services to service users

  • maintaining up-to-date therapy record data via client record management system

  • making and receiving sensitive telephone calls with potential and existing service users

  • to provide support to the therapy team in relation to assessments, referrals and intervention bookings

  • to attend therapy support team and whole team meetings as and when required

  • to provide cover for Reception including all ‘front of house’ duties if required

  • to ensure all therapy updates are disseminated appropriately to the therapy/clinical director teams

  • to support with the collation of data in relation to performance, statistics, service users feedback and activity, producing summary reports as required.

Requirements and conditions:

  • act as an ambassador for Kids Inspire and to carry out the above tasks in an efficient, pro-active and effective manner

  • Proven excellent administrative experience (preferably in a school or healthcare setting)

  • professional and confident telephone manner

  • excellent interpersonal skills

  • attention to detail

  • able to work independently and as part of a team

  • a ‘can do’ attitude

  • an understanding of the importance of confidentiality and therapy processes through relevant training or experience

  • excellent computer skills (working knowledge of Microsoft Office)

  • ability to meet deadlines under pressure

You will be subject to an enhanced check of criminal records via the Disclosure and Barring Service.
