Assembly and workshop terms and conditions  

Thank you for booking our services.  Please read these terms and conditions before using our services. Any booking of our services will be deemed to implicitly accept our terms and conditions.

Please note: We will need access to a school hall to present the workshops and assemblies.

Assembly and workshop criteria

Priority will be given to schools with students on pupil premium or low-income families.

Multiple bookings

Schools may book up to two workshops and one assembly per academic year. If booking more than one service these will need to all be booked for the same day. Bookings beyond this will be cancelled. Bookings of two to three services at a time will have allocated time slots, if these do not work for your school please contact the team.

Booking information for Essex

Bookings for Essex are open on Tuesdays and Wednesdays. We will not be able to provide bookings outside these days for schools in the Essex area.

Booking information for Suffolk

Bookings for Suffolk schools are open for Fridays. This is due to our team's capacity and travel arrangements. Services in Suffolk will ideally start from 9:30am to allow travel time from Essex. We will not be able to provide bookings to Suffolk schools on alternative days of the week.

Cancellations

All bookings will be confirmed by email after we have received an enquiry form, and the service should not be deemed confirmed until you have received an email confirmation from the Community Engagement Team.

Cancellations must be made at least one week before your assembly and/or workshop is due.   If you need to cancel, you must make direct contact with the team using the email communityengagement@kidsinspire.org.uk or by calling 01245 914 725.

If you book a service and cancel it more than two times - we will reassess our ability to provide this service to you.

In exceptional circumstances we may have to cancel, however, we will always look to find a substitute presenter where possible before taking this step. In the event that we have to cancel, we will aim to give as much notice as is reasonably possible and will suggest an alternative booking date.

Safeguarding

You can expect that all presenters will have valid DBS checks in place and will be safeguarding trained. Staff will abide by all Kids Inspire policies and procedures putting the young people's safety and well-being at the heart of all we do. 

In return, we ask that a ratio of at least one staff member per 30 students be respected throughout the duration of the workshop/assembly. We also ask that we are provided with a copy of the safeguarding policy in order that we can escalate any cause for concern to the appropriate DSL.

Managing behaviour

At the beginning of any service, we will make clear our codes of conduct for the children attending. We ask that the teachers present during the service monitor and manage the behavior of the children attending, ensuring the least disruption to their peers.

Feedback

Feedback both positive and negative allows us to grow and improve our services. This service provision is free of charge, we only ask that where possible you provide honest evaluation after delivery.

We also ask that you have time to ask the students for any feedback on the service and for this to be completed within the feedback form and submitted back to the Community Engagement Team(this will happen automatically once you press submit/send)

Intellectual property rights

All materials presented throughout the service are the intellectual property of Kids Inspire. Our materials are only to be used, copied or distributed with our explicit consent.

Confidentiality

All Kids Inspire staff are bound by strict confidentiality policies and procedures. Kids Inspire staff will not share any information relating to the students or school without explicit consent and legitimate interests considered.

The only instances in which Kids Inspire staff would share information (and this would only be with necessary professionals in line with policy) are safeguarding concerns and for marketing purposes where explicit consent has been given to use feedback publicly.

Equality, Diversity and Inclusion

Kids Inspire does not discriminate, and in fact encourages children and young people with disabilities, additional needs and/or diverse backgrounds to attend our services. In order for our workshops/assemblies to be fully inclusive and accessible we ask that schools let us know the additional needs of attendees prior to our attendance, so that we can amend any practices required.

Equipment

When a service has been booked in the confirmation email we will request to have available the equipment required for us to deliver the service. This may include a projector, screen, whiteboard, tables and chairs. We will provide all other materials. If you do not have the equipment requested please do let us know and we will endeavor to source elsewhere prior to delivery of the service.
